When job costing, procurement, claims, compliance and finance run from one unified system, a project’s true position stops being a monthly reconstruction.
Original budget, revised budget, actuals, commitments and forecast cost to complete sit against the work breakdown structure you estimated to. An approved purchase order moves the forecast the day it’s raised, not the month it’s invoiced, so committed cost is visible before it becomes spend. Movement analysis shows what changed between revisions and who changed it. When project margin moves, you drill from the project position straight to the transaction that moved it.
Progress claims are produced from the live project position using the method the contract calls for: milestone, percentage complete, fixed price, bill of quantities, or time and materials. Pro forma invoicing lets a claim be agreed before it becomes a tax invoice. Revenue recognition follows construction accounting standards, and project work in progress is calculated from live cost and revenue positions rather than assembled by hand.
Change requests and change orders carry their cost, revenue and schedule impact through one workflow, so an approved variation updates the revised budget, the forecast and the claim position at the same moment. Delegation of authority is configured to your own approval matrix and applied to quotes, requisitions, purchase orders, subcontracts and claims. Approvals can be actioned from a phone, which matters because variations are usually late to the ledger for exactly one reason.
Retentions are held and released against head contracts and subcontracts with release dates visible in the system rather than a separate register. Bank guarantees are tracked against the project and the expiry that matters. Certificates of currency are held against the subcontractor with status visible before a payment run, so an expired insurance certificate is caught at approval rather than at audit. TPAR reporting comes from the payments already recorded.
